Set up meeting confirmation

Prepare the accounts, settings and test meetings the plugin needs before it calls a single customer.

Before you start

  • A phone plugin that provides the phoneCalls capability.
  • The Raynet plugin, which provides raynetMeetings.
  • Microsoft Teams with personal delivery by email.
  • Chetty core 0.30.47 or newer.
  • Raynet set to read/write access with shared company credentials. Automated discovery runs outside a personal conversation.

Admin: Every step on this page needs an administrator.

Create the service account

  1. Create an ordinary human service account. The plugin acts as this person, so its conversations and spend belong to it.
  2. Grant the account voice access.
  3. Grant it explicit access to the phone plugin, the Meeting confirmation plugin and the Raynet plugin.
  4. Allow the MeetingConfirmRecord tool and a chat model for its conversations.
  5. Configure its voice, its chat model permissions and its monthly spend limit.

Turning the plugin on asks an administrator to consent to it opening conversations in that account.

The Utility model in Settings → Models also reads the contact from the deal note, so the instance needs one configured.

Fill in the settings

  1. Open the plugin settings under Settings → Plugins and pick the Service account.
  2. Set the Trigger tag and the tags the plugin writes for each result.
  3. Set Company name, Time zone and Message language.
  4. Review Calling days — Monday to Friday by default — and keep at least one day. Then set Calls from and Calls until.
  5. Check First call time, Delay between attempts, Maximum attempts and Minimum time before the meeting.

Titled settings groups start open and remember whether you closed them, and the help icon explains each field. Delay between attempts and Minimum time before the meeting show hours beside the input and keep quarter-hour steps. Maximum attempts stays a count of calls.

Prepare the meetings

  1. Link each tagged meeting to its deal, the business case.
  2. Write the customer contact, with name and phone number, into the deal note.

Salespeople do not create Raynet contact persons; the deal note is the only place the contact comes from. The number must be written exactly as the customer's own number.

A meeting without a deal, with an empty note or without a clear customer number is handed to the salesperson without a call. The plugin never takes the salesperson's or a colleague's number, and when it cannot tell which number belongs to the customer it stops instead of guessing.

Limit the calls to pilot numbers

  1. Fill Pilot phone numbers with your own numbers in E.164 form.
  2. Tag test meetings and go through confirmation, cancellation, rescheduling, callbacks, another person answering, voicemail, busy, outages and a restart.
  3. Verify the settings form before you enable calls.

While the pilot list is non-empty, meetings with any other number are reported to their salesperson and never dialed. Clear the list only after the owner approves the real rollout; an empty list permits all tagged meetings.

Check that it worked

  1. Open the service account's conversation for the meeting and read the assistant's report.
  2. Check that the meeting carries the expected result tag and note line in Raynet.
  3. Check that a cancelled test meeting produced a Teams notice for its salesperson.

If it does not work

  • Nothing happens at all: the meeting lacks the Trigger tag, it is not linked to a deal, the note has no clear customer number, or the plugin is switched off.
  • A tagged meeting is not dialed: its number is not in the pilot list, or it falls outside the calling days and hours.
  • The meeting was handed to the salesperson instead of called: the contact was unclear or the number invalid. Check the note.
  • A call happened but no result tag appeared: delivery is retried; check the conversation and the administrator alerts.
  • A call ended without a verdict: the result is recorded as unclear after ten minutes with no report.
