Read and answer your email

Your mail is part of Chetty. You read it here, sort it and answer it, and you can ask Chetty for help with a message in the same window.

Before you start

  • Connect a mailbox first. Reading, search, summaries, replies, drafts, sorting, attachments and new-mail alerts all need a mailbox connected to your Chetty account. Signing in to Chetty is not enough; when the page shows No email account, follow Connect your mailbox.
  • Choose one mailbox for its own folders and labels. Open Account above Compose and replace All accounts with the mailbox you want. This choice affects this page, not the mailbox Chetty uses in chat; name the address in your request. See Choose the mailbox you want to use.
  • Access decides what Chetty may do with the mailbox for you: Read only, Drafts or Sending. You change it in Manage accounts.

Read your mail

The page has three columns: folders on the left, the message list in the middle and the open message on the right. On a phone you see one column at a time, and the back arrow returns to the previous one.

  • All accounts shows the Inbox, Drafts, Sent, Archive, Junk and Trash of every mailbox together, newest first. Choose one account in the menu above Compose to see all of its folders and labels.
  • Search looks through the selected folder or label on the mail server. Options narrows the list to unread or starred mail or mail with attachments. The count below the list counts messages, not conversations.
  • The messages of one conversation on a page share one card, and the badge beside the sender shows how many there are. Opening it shows the conversation oldest first with the newest message open; select an older message to expand it. Opening a conversation marks it read; Mark unread is in its … menu.
  • Tick cards to act on several at once: mark them read or unread, star them, label, move, archive or delete them. Labels and moving apply to one mailbox at a time. In Trash, deleting removes the messages permanently after you confirm.
  • Right-click a card, press the Menu key or Shift+F10 on its subject, or touch and hold it to open its menu: Reply, Reply all, Forward, Mark read, Mark unread, Star, Labels, Move to folder, Archive, Mark as spam (Not spam in Junk), Unsubscribe when the sender offers it, Delete (Delete permanently in Trash, after you confirm), Reply with agent and Summarize with agent. A card inside a selection of two or more opens the menu for the whole selection, without the rows for a single message; any other card opens it for itself and leaves the selection as it is. Labels and Move to folder appear while the messages belong to one mailbox; their New label and New folder create one and apply it straight away. The open conversation's … menu has the same rows.
  • Each attachment has a … menu, also on a right-click or touch and hold: Preview opens images and PDF files, Download saves the file, and Save to project stores a copy in a project you choose, in its attachments folder unless you enter another one. Selecting the file name downloads it as well. On a phone a PDF opens in the phone's own viewer. Images from the internet load automatically, except in Junk, where they wait until you choose Show images.
  • Unsubscribe opens the sender's unsubscribe page. If the sender accepts only an email request, it sends one from your mailbox after you confirm.
  • Reply with agent opens a new conversation with a request and a reference to the email in the composer; Summarize with agent does the same with a request for a summary. Complete and submit the request yourself; opening it sends neither a chat request nor an email.

With Manage accounts beside Compose, change access or new-email alerts in each account's section. The section's menu (…, or a right-click or touch and hold on the section) offers Sync now, Agent access with the current level ticked and Remove account, which requires confirmation and removes only the connection. While one account is chosen above Compose, the same menu without Remove account opens on that account choice. Sync now reads the account's folders, labels, list and open conversation again; mail is read live, so this shows the mail server's current state, and a reply you are writing stays open. A failed mailbox offers Reconnect without hiding other accounts. Enter a replacement password or sign in again to the same Google/Microsoft mailbox. The account ID and preferences remain unchanged, including after a failed sign-in.

If sign-in expires or an app password changes, reconnect the existing mailbox instead of removing it and adding another account. For password-based mail, enter the replacement password and change manual server settings only when required. For Google or Microsoft, sign in again to the same mailbox. Reconnect preserves the account identity, access level and alert settings; it does not delete messages.

Folders and labels

Select one account to manage its folders and labels. + next to Folders creates a folder. A folder's menu (…, or a right-click, the Menu key or Shift+F10, or touch and hold on the row) creates a subfolder in it, renames it or deletes it together with its messages after you confirm, and Mark all as read marks every message in it read. Inbox, Drafts, Sent, Archive, Junk and Trash cannot be renamed or deleted; Trash and Junk instead offer Empty Trash and Empty Junk, which delete every message in them permanently after you confirm the count. With All accounts, each folder row offers Mark all as read and, for Trash and Junk, emptying, for that folder in every mailbox together.

Labels are Gmail labels and Microsoft categories. + next to Labels creates one, and its menu renames or deletes it; deleting a label keeps the messages. A Microsoft category has Colour instead of Rename, with nine colours and the current one ticked. Microsoft does not support renaming a category: create a new one, assign it to the relevant messages, then delete the old one if no longer needed. On other mail servers, labels are the keywords already used on your messages; new ones cannot be created here. A server without keywords says that it does not support labels.

On IMAP, Archive moves mail to the server's existing archive. If none exists, Chetty creates an ordinary folder named Archive; it does not set the server's special archive designation. Other mail apps may therefore display the new folder as an ordinary folder.

Write, reply and forward

  1. Compose opens a new email beside your mail. Check From before writing: with All accounts, the first connected mailbox is selected initially. Reply, Reply all and Forward use the mailbox of the message you have open.
  2. Fill in To and add Cc or Bcc when you need them.
  3. Attach files adds files from your computer, together up to 5 MB. With Microsoft, each individual attachment must also be smaller than 3 MB, including forwarded attachments.
  4. Send first shows the sender, the recipients and the attachments. The email leaves only after you confirm.
  5. Save draft keeps it in Drafts and closes the window; Discard throws it away after asking.

What Chetty may do with your mail

In Manage accounts you set Access for Chetty, not for your own work on the Email page. Read only prevents the agent from writing, Drafts lets it save drafts, and Sending also lets it ask you to send. With Drafts or Sending you can ask Chetty to sort mail too: label it, move it, archive it, mark it read, star it, or create a folder. It never deletes mail permanently and never deletes folders.

Alerts about new mail

New email alerts is switched on per mailbox. The first check records what is already there, so old mail does not flood your notifications; later arrivals link to the mailbox. When a connection stops working, Chetty asks you to sign in again.

If it does not work

  • No email account — no mailbox is connected yet. Follow Connect your mailbox.
  • Unable to load email. — reload the page. If it repeats, ask your administrator to enable mail for your account.
  • Reconnect — the mailbox asks for a fresh sign-in. Sign in again to the same mailbox; its folders, access and alerts stay as they were.
  • This mail server does not support this operation. — your mail service does not offer that action, such as labels or moving messages.
